The best email hosting for a small business is not the cheapest mailbox on the market, and it is not the most expensive seat either. It is the plan whose pricing model matches how your business actually works. A shop that needs four addresses on one domain and a two-person agency that shares calendars all day should not be buying the same product — and in 2026 they pay anywhere from $14.88 to $420 a year for “business email”.
We priced every option below from the vendors’ own plan pages in September 2026, converted everything to a full year per mailbox, and cut the list to five options for a 1–20 person business.

How we picked
Four criteria, in this order. Real annual cost — what you pay in year two, not the intro rate. IMAP and POP support — without it you cannot use Apple Mail, Outlook or Thunderbird. Storage and aliases per mailbox, pooled or fixed per address. And deliverability basics: whether the provider handles SPF, DKIM and DMARC for your domain, and whether your sending reputation is yours or shared.
We left out anything only free as a bundle with a domain purchase. All figures are US list rates in September 2026, excluding tax.
The spec that decides everything: mailbox or user?
Two different businesses sell “email hosting”, and their pricing models look nothing alike.
Mailbox pricing (Namecheap, IONOS, Titan): you buy a fixed set of mailboxes on one domain — one for orders, one for accounts, one for yourself. No calendar app, no terabyte of drive storage, and the bill does not change when you hire.
Per-user pricing (Google, Microsoft, Zoho Workplace): every seat is a licence — calendar, contacts, shared drives, video meetings, device management, and a bill that grows with headcount.
For a three-person business that is roughly $45 a year versus $252 a year. If your team lives in shared documents and calendars, the $252 buys software you will open every day. If you just want hello@yourbusiness.com to land somewhere clean and leave again, you are paying six times the price for features nobody will use.

Namecheap sells email the old way: by plan, not by seat, billed annually with no monthly option. Launch is one mailbox with 5 GB, Expand is three at 10 GB each, Scale is five at 15 GB each — and that storage is pooled, so you can shift gigabytes toward the address that fills up instead of buying an upgrade for everybody. Extra mailboxes cost $8.88, $25.88 or $39.88 a year depending on the plan, so going from one address to five never forces you into the next tier.
What is in the box is all most small businesses need: webmail, IMAP and POP so desktop clients work, mobile sync over ActiveSync on the larger plans, aliases, and a spam filter that is adequate rather than remarkable.
Two honest drawbacks. The advertised “from $0.99/month” is the promotional rate — Launch renews at $14.88/year, which is $1.24 per mailbox per month. And this is not a workspace: no shared calendar, no Office apps, no 1 TB of storage. If you need five professional addresses on your own domain for less than one Workspace seat, this is the pick. 2. Google Workspace Business Starter — best for teams that live in Google

$84 per user per year — the number to say out loud. Five people, $420 a year, for email that starts at $14.88 elsewhere. What you are buying is the ecosystem: Gmail on your own domain, a shared calendar that syncs properly, Meet, Drive, Docs, and Gemini inside Gmail. Deliverability on Google’s infrastructure is the best in this comparison — mail from Workspace lands in inboxes that quietly reject cheaper senders. Business Standard doubles the price for 2 TB of pooled storage and e-signatures; almost no small business needs it in year one. The trade-off is that you rent a seat, not a mailbox: adding a part-time helper adds $84 a year whether that person needs Drive and Meet or just an address.
3. Microsoft 365 Business Basic — best if you need real Outlook

Same headline price, different centre of gravity: a 50 GB mailbox, 1 TB of OneDrive per user, Teams, and browser versions of Word, Excel and PowerPoint. If your business runs on Excel files, Outlook rules and shared folders rather than Google Docs, this is the correct $7 — and the mailbox itself is the biggest on this list.
Know what Business Basic excludes: the desktop Office applications. Those start with Business Standard, which costs roughly double per seat and is the tier most small businesses end up on. Price the desktop suite inside the subscription instead of buying a separate Office licence and stapling a $1 mailbox to it.
4. Zoho Mail — best free plan and cheapest paid seat

Zoho is the only provider here with a free plan you can run a real business on: five users, your own domain, 5 GB each, no card required. The catch is not the storage, it is the protocol — the free tier is web and mobile app only, with no IMAP or POP, so Outlook, Apple Mail and Thunderbird cannot connect. Mail Lite at $1/user/month (annual billing only, $12 a year per user) unlocks IMAP and POP and is the cheapest paid business mailbox we could verify that is not a first-year special. Mail Premium at $4/user/month adds 50 GB plus 50 GB of archival storage and S/MIME. Where Zoho loses points: the interface is busier than Google’s, the admin console belongs to a much larger suite, and support is inconsistent outside business hours. For a zero-budget start it is unbeatable; for a team that needs a phone number to call, it is not.
5. Contabo VPS with your own mail server — the option we would skip

Here is the trap. You can rent 4 vCPUs, 8 GB of RAM and a lot of transfer for less than one Workspace seat, and there are tutorials that turn it into a mail server in an afternoon. We would still say no, for one boring reason: port 25. Contabo blocks outbound SMTP on port 25 by default to fight spam and makes you request an unblock, and even once it is open your sending IP is shared with tenants who have spent years getting it onto blocklists. Add SPF, DKIM, DMARC, reverse DNS and reputation monitoring, and a $6 subscription becomes a part-time job with worse inbox placement than a $1 Zoho mailbox.
The honest use for a cheap VPS is the website, the app and the backups — with outbound mail relayed through a smarthost. What we skipped, and why
Deep first-year discounts. A bundle advertised at $0.79 a month is $9.48 a year only if you prepay three years. Compare the renewal column, not the banner.
How to choose
- One to five addresses, nothing else: Namecheap Private Email. Cheapest, IMAP included, no per-seat billing.
- A team that shares documents and calendars all day: Google Workspace Starter or Microsoft 365 Business Basic — whichever ecosystem your files already live in.
- No budget yet: Zoho Mail Free now, Mail Lite the day you connect Outlook.
- You already pay for a VPS: run the site there, keep the mail at a provider.
- You are leaving a provider: export first. IMAP migration is a two-hour job; recovering a cancelled mailbox is not a job at all.
Before you pay, check three lines: the renewal price, whether the plan is a mailbox or a seat, and whether IMAP is included — those decide your year-two bill more than any feature list. FAQ
Is cheap email hosting good enough for a business?
Yes, for mailboxes. Around $1 per user per month buys IMAP, spam filtering and a custom domain. What it does not buy is calendar, document storage and directory services.
Can I use my own domain with a free email host?
Zoho’s free plan allows a custom domain for up to five users, but it is web and mobile only. Gmail’s free tier no longer allows a custom domain at all.
Can I run a mail server on a $5 VPS?
You can install one, and it will receive mail. Sending is the hard part: most budget providers block outbound port 25, shared IPs carry blocklist history, and you own the deliverability problem alone.
What happens if I stop paying?
Mail stops arriving as soon as the MX record stops resolving. Move your mail before you cancel, and read the renewal price — the second year is where cheap email hosting stops being cheap.
Verdict
Buy a mailbox if you need an address; buy a workspace if you need a team. For most one-to-five person businesses, Namecheap Private Email is the best email hosting value in 2026 — from $14.88 a year for a mailbox your desktop client can actually use, at a fifth of the price of a per-user suite. Upgrade to Google Workspace or Microsoft 365 the day you start sharing calendars and documents, and do not build your own mail server to save $6 a month.
